Job Title: Program & Administration Assistant

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Serve as the first point of contact by answering a multi-line telephone, receiving visitors, and providing routine information and assistance regarding department programs.
  • Perform data entry and assist in developing and in maintaining computer databases and spreadsheets used to collect, organize, and produce necessary statistics, and reports.
  • Communicate with potential applicants, pre-screen for minimum eligibility, and place on appropriate program waiting lists.
  • Address and resolve client concerns related to eligibility, scheduling, warranties, and quality of services.
  • Refer clients to appropriate CAC staff or community agencies for additional support and services as needed.
  • Track and follow up on client concerns as needed to ensure timely resolution and clear communication.
  • Conduct client satisfaction surveys and document feedback.
  • Assist in application preparation by utilizing internet-based resources and databases to gather required program documents.
  • Contact applicants to schedule, confirm, or remind them of upcoming appointments.
  • Use computer software to prepare program documents and written client communication.
  • Assist in maintenance of client files and administrative records.
  • Contact vendors to order materials and office supplies.
  • Review staff time and mileage records for accuracy and submit documents to the finance unit.
  • Assist in collecting data necessary for the compilation of financial, participant, and programmatic reports.
  • Attend required meetings.
  • Perform other duties as assigned.

QUALIFICATIONS

  • Excellent organizational skills.
  • Proficient in Microsoft Excel and Word.
  • Ability to address inquiries in a professional manner, using sound judgment in answering questions and referring visitors to appropriate staff members.
  • Ability to research and problem-solve independently, with the professional judgment to know when to escalate issues or seek expertise.
  • Ability to work independently, managing time and duties efficiently and with a team.
  • Ability to handle detailed work with accuracy, keep records up to date, and prepare accurate reports.
  • Ability to work well with supervisors, co-workers, and the public.
  • Ability to handle multiple tasks and to work well with diverse people.
  • Ability to lift and carry up to twenty-five pounds.
  • Ability to communicate effectively in both oral and in written form.
  • Ability to carry out instructions furnished in written, oral, or diagram form.
  • Knowledge of modern office practices, procedures, and equipment.

Applicants should be a High School graduate or equivalent. Obtain proficiency in standard word processing and spreadsheet software. Prior related work experience and data entry skills. Prefer two years prior customer service-related work. Must be able to operate a variety of office equipment. Workers eligible under HUD’s Section 3 requirements are encouraged to apply for this position.
